Billing & Insurance

Payment & Insurance Information

Pediatric Partners of Virginia will directly bill your claims to most insurance companies.

  • To better serve you and ensure proper billing, we ask that you bring your insurance card with you to each and every visit.
  • Be prepared to pay your copay.
  • Be familiar with your insurance policy and any deductibles. If you have any questions, please contact your insurance directly at the number listed on the back of your id card.
  • If there is a balance owing on your account, we will send a monthly billing statement detailing the outstanding balance. You are encouraged to review the information carefully and compare it with your explanation of benefits (EOB) from your insurance company. If you have any questions regarding the balance that your insurance requires you to pay, please contact your insurance company directly.
  • All balances are due within 30 days from the date on your statement. If you need to make other payment arrangements, please contact us.
  • Pediatric Partners of Virginia reserves the right to request payment for outstanding balances. If the account is not paid in full or satisfactory arrangements made within a reasonable timeframe, we reserve the right to refer the account to an attorney and/or a collection agency for collection of balance. If collection is necessary, the responsible party or guarantor will be required to pay attorney, collection agency, and/or court costs up to 40% of the amount owing.

  • We do offer several payment plan options to assist you with paying off your balance. Payment arrangements are available by contacting our Billing Office by phone or email.
  • Sometimes a child is ill on the day their physical is scheduled. When this happens, you have a choice. You may bring your child in to be treated for the illness, and we can reschedule the physical for another day. If your child has a simple illness like an earache, sore throat, or fever, we can typically treat the illness and complete the physical on the same day. Please note that these are two separate visits and will be billed separately.
  • To ensure transparency and help families plan for medical expenses, Pediatric Partners of Virginia requires a $75 deposit for patients covered under high‑deductible health insurance plans when they are seen for non‑preventative visits. This deposit is applied directly toward any patient responsibility determined after insurance processes the claim. If the insurance company assigns additional patient responsibility, a statement will be sent for the remaining balance as usual.

Questions about your how to coverage or plan terminology?

Coverage and authorization requirements can vary between different plans offered by the same insurance company. Please review your specific insurance plan benefits, network status, copays, annual deductible (both in-network and out-of-network), and coinsurance to understand your cost. See also:

Michelle Jefferson
Patient Service Representative

I recently started at WEP in September 2025. I have a strong background working in healthcare. I have worked in OB-GYN and also Primary Care,
but I have a strong passion for helping children, which is what inspired me to work in Pediatrics. Being able to interact with the children and ensure the parents feel at ease while bringing their children in for appointments is very important. Outside of work, I am a mom of five lovely children, so I love to go out and do fun activities with them! I also LOVE shopping, which is my favorite hobby!
